Position Available: Administrative Assistant

Position Summary

Third Coast Percussion (TCP) a Chicago based, award-winning ensemble, is seeking a full-time Administrative Assistant (AA).  The AA will be an integral member of TCP working alongside the Ensemble, Staff, and Board of Directors to support the organization’s continued artistic and organizational success.

About Third Coast Percussion

Third Coast Percussion is a GRAMMY® Award-winning percussion quartet and GRAMMY®- nominated composer collective. For over seventeen years, the ensemble has created exciting and unexpected performances that constantly redefine the classical music experience. TCP is a 501(c)3 not- for-profit organization.

TCP is currently composed of four ensemble members and three full-time non-performing staff members. We are now expanding that staff to include this new position.  Our small but mighty organization is driven by a rigorous work ethic, extraordinary ambition met with calm calculation, outstanding artistic product, and a warm, supportive work environment that is safe, fun, and inspiring.

Administrative Assistant Key Relationships

The AA reports directly to the Marketing and Development Manager and will meet weekly with her to assess progress and set goals. The AA’s work will also involve regular contact with the Managing Director. 

Key Responsibilities

The AA’s primary responsibility will be to provide administrative support and assist office staff to balance the office workload. Responsibilities include:

  • Administrative tasks as assigned, including facilitating scheduling for the TCP team, taking notes at meetings, maintaining and organizing TCP’s music library, fulfilling merchandise orders and managing inventory, acting as the contact person for TCP’s company email account and all incoming and outgoing mail at TCP’s office, and maintaining inventory of all TCP office supplies. 
  • Support the work of TCP’s Marketing and Development Manager. Potential tasks include assisting with grant reporting, preparing for and facilitating all TCP development events, writing copy and gathering content for advertisements, email newsletters, and social media platforms, and performing routine updates to content on TCP’s website.
  • Support the work of TCP’s Managing Director. Potential tasks include maintaining regular communication with presenting organizations, attending national and regional performing arts conferences, researching new opportunities, and managing contractual agreements.


The AA position requires an enthusiastic, hard-working individual with an appreciation and passion for the arts who displays a curiosity and desire for knowledge; demonstrates a team approach to, and reinforces collaboration in all internal/external interactions; and proactively manages projects to ensure smooth and successful outcomes while working on multiple tasks with differing priorities.


  • Outstanding verbal and written communication skills, including prompt responses to all emails
  • Strong organizational, prioritization, and time management skills; detail-oriented
  • Self-motivated and collaborative
  • Passionate enthusiasm for the arts, particularly the new, innovative, interesting, and ground-breaking

  • Must own a smartphone (laptop provided by the organization)
  • Ability to commute daily to the office and rehearsal studio


  • Experience with WordPress, MailChimp, Sprout, and Google Suite
  • Arts background
  • Proven aptitude for a variety of social media platforms.

Work Environment

The team is extremely hard working; each of us is highly self-motivated and adept at managing stressful, deadline-oriented situations; and we all do what it takes to reach our goals. Work/life balance is highly valued in our organization. All staff and ensemble members are expected to work from 9am–5pm, Monday–Friday. TCP offers some flexibility to work from home upon request. Employees may also occasionally ask to shift their workday hours, after 3 months of employment and subject to approval by their direct supervisor. 

When we are all in the office, it is a highly collaborative and intimate work environment. All TCP employees are also called upon to be productive and self-motivated when working from home or in the office alone. All employees are occasionally asked to work outside of normal work hours, most often for performance-specific events including concerts, fundraisers, and other professional development opportunities. In-person attendance at TCP events is important.

Our office and rehearsal studio on Chicago’s Northwest Side is in a converted light manufacturing building that has become a vibrant hub for many artists and creators of different disciplines. The office is accessible by public transit, bike, and car within minutes to many of the city’s vibrant neighborhoods.

Reporting and Feedback

A big contributor to Third Coast Percussion’s success as an organization is regular and honest communication between all employees. At the end of each fiscal year, each employee (including ensemble members) participates in a 360-degree feedback session with their direct reports and the Executive Director. New employees also participate in a 3- month and 6-month 360-degree feedback session in their first year of employment.

Compensation and Start Date

The salary level for this position will be $35,000-$40,000 annually before taxes. Benefits include paid time off and employer-contributed healthcare and retirement plans. The start date is negotiable, but we are eager to fill this position as soon as possible.
